We are currently recruiting for a Personal Assistant (PA) to join our firm. The successful candidate will provide comprehensive administrative and secretarial support to our Partners and Associates, ensuring the efficient operation of daily activities. This position requires a professional who can manage a variety of responsibilities with precision and discretion, contributing to the firm's overall success.
Key Responsibilities:
* Provide executive-level administrative support to the Senior Partner(s), as well as an allocation of additional fee earners, anticipating their needs in a timely fashion and enabling them to focus on key fee earning and management activity.
* Monitor and manage Partner emails and calendars, coinciding with the thorough planning of meetings and events across multiple time zones.
* Proactively manage and optimise executive schedules in accordance with business priorities.
* Extensive travel management including the preparation of client reports and travel packs for all trips and client interaction.
* Compile business development documentation for new client meetings e.g. research, client bios and company information.
* Prepare professional reports, documents, and presentations and assist in strategic initiatives.
* Serve as a point of contact for internal and external stakeholders, handling enquiries on behalf of the Partner and wider allocation.
* Handle sensitive and confidential information with professionalism and discretion.
* Build and maintain strong working relationships across all teams and departments.
* Manage the monthly billing processes for given allocation, to include time allocation and invoice preparation (commercial billing experience is essential).
* Manage all expenses, ensuring submissions are made on time and with the highest level of accuracy.
* Work with the full Microsoft Office suite, updating presentations as and when requested and producing high quality documentation from hand-written drafts, following the William Fry LLP house style.
* Support and cover the wider PA population within designated practice group, as and when required.
* Ad hoc duties, as and when requested.
Person Profile
* Extensive, proven experience providing secretarial support to senior stakeholders.
* Highly organised with the ability to manage high volumes and work, re-prioritising as and when required.
* Uses initiative to problem solve, in a calm and methodical way.
* Proven experience working with highly sensitive information in a discreet and confidential manner.
* Demonstrates a high level of flexibility and willingness to assist others within the group, as and when required.
* Drive and determination to continuously make role improvements, eager to develop skills and own personal development.
* Well-developed IT skills, including proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and the ability to use them effectively to improve performance and communications.
* Exceptional attention to detail and written/verbal communications skills.
* Acts in a professional and assertive manner, displaying strong interpersonal abilities.
* Proactive, resourceful and able to work both independently and collaboratively.
